2. Information we collect
When a school registers, we collect:
- the staff member’s name and school email address;
- the school’s name, county, country and school type;
- registration date and question-set delivery status; and
- messages and other information you provide when contacting us.
Our hosting and security systems may also process technical information such as IP addresses, browser information, request logs and timestamps.
Please do not submit information about students through the registration form. We do not ask schools to provide student names or other student personal data to order the question sets.
3. Why we use the information
We use personal data to:
- process and verify school registrations;
- deliver question sets and service information;
- issue and administer invoices;
- respond to support requests;
- maintain the security and reliability of the service; and
- meet legal, accounting and regulatory obligations.
4. Our lawful bases
Depending on the activity, we process information because it is necessary to perform a contract or take requested steps before entering one; because we have legitimate interests in operating, supporting and securing Quiz Academy; or because we must comply with a legal obligation.
Where we rely on legitimate interests, we consider the impact on the individuals concerned and do not use information where their rights and interests override ours.
5. Sharing information
We may share information with service providers that support hosting, database operation, email delivery, invoicing, accounting and technical support. They may process information only for the relevant service and under appropriate contractual protections.
We may also disclose information where required by law, to protect legal rights or in connection with a reorganisation of the service. We do not sell personal data.
6. International transfers
Some technology providers may process information outside the United Kingdom. Where this happens, we will use an applicable adequacy decision or appropriate contractual and organisational safeguards as required by data-protection law.
7. How long we keep information
We retain registration, delivery and invoice information for as long as necessary to provide the service, manage the relationship with the school, resolve disputes and satisfy applicable tax, accounting and legal requirements. Technical logs are retained only for a proportionate period needed for security and troubleshooting. Information is deleted or anonymised when it is no longer required.
8. Security
We use reasonable technical and organisational measures intended to protect information against unauthorised access, alteration, loss or disclosure. No internet service can guarantee absolute security.
9. Your data-protection rights
Depending on the circumstances, you may have rights to request access to or correction of your personal data, request erasure or restriction, object to processing, and receive certain information in a portable form. Some rights are subject to legal exceptions.
Your right to object: where we rely on legitimate interests, you can object to that processing by contacting us. We will consider your request in accordance with data-protection law.

10. Complaints
Please contact us first so we can try to resolve your concern. You also have the right to complain to the UK Information Commissioner’s Office. Information about making a complaint is available at ico.org.uk/make-a-complaint.

We may update this notice when our practices or legal obligations change. The latest version and its revision date will be published on this page.
